Program inquiry reply emails for youth enrichment
Three emails for parents' questions: a reply to a program question, a camp registration reply and a waitlist reply. Each one ends with a clear next step.
A parent asking about a program wants to know three things: which one fits their child's age, when it meets, and how to sign up. A reply that answers those, with a link, saves a week of back and forth. These three emails cover a program question, camp registration and a full class.
Replace everything in square brackets. Use program names exactly as they appear in your enrollment system, so parents can find them when they sign up. Write like a teacher who knows the kids, not a registration office.

Send from a person when a parent asks about camp. List only weeks that still have space.

Waitlist reply
Send when a class or camp week is full. Say plainly how the list works.

That session is full right now, so [Child's name] is number [Position] on the waitlist. Here is how it works: if a spot opens, we will email you and hold it for [Time to confirm, such as 48 hours]. How fast should we answer a program question?
Send a short acknowledgment right away and a personal reply the same day if you can. A question sent after bedtime deserves an answer waiting in the morning.
What should a camp reply include?
Dates, ages, daily times, the price, what to bring, how to register and when registration closes. If you offer early drop-off or late pick-up, say so and give the price.
Should the waitlist email give a position number?
If you keep a strict order, yes. A number sets honest expectations. If you do not, leave the number out and explain how a spot is offered instead.
How do we tell every parent when camp registration opens?
Email the families you already have, and post one line at the top of your website on the day registration opens, such as "Summer camp registration is open." Take it down when camp is full.
